Banner 5.0 Upgrade: Downtime This Weekend
On the weekend of November 9-12, CIS will upgrade the Banner Information System software. Banner will be unavailable from 5:30 p.m. on Friday, November 9, to 6 a.m. on Tuesday, November 13. (Monday, November 12 is a holiday.) During this time, Banner users will be unable to access any portion of Banner, including Banner GUI, Banweb, MARS, the Online Library Databases and the Web portion of the Banner interface. This downtime will not affect SPU email or the on-line learning 'BlackBoard' system. If there are questions regarding the Banner upgrade, contact Rod Hoekstra, Administrative Systems Manager, at (206) 281-2407, or at rhoek@spu.edu.

Microsoft Campus License Agreement: Windows XP Arrives!
If you are currently running Windows 9x, 2000 or ME, the new Windows XP operating system may be just the upgrade you're looking for. Windows XP offers greater speed and reliability over its predecessors. Upgrade CDs are available for Library checkout only, per the Microsoft Campus License Agreement. Operating system CDs are not for sale in CIS.

Use of this software implies that the user is bound to the terms and conditions of the Microsoft licensing agreement.

SPU Library and Computer Information Systems departments make no claims or guarantee that the product will work with your computer. It is your responsibility to ensure all valuable data are backed up, that your system meets Microsoft's minimum hardware recommendations, and that all peripheral devices are supported by this operating system as set forth in the Microsoft Hardware Compatibility list. http://www.microsoft.com/hcl/default.asp. Any problems encountered in performing this upgrade should be addressed directly to Microsoft or the hardware or software vendor.

Microsoft Desktop Applications Also Available
Microsoft Office XP Pro, Office 2001 for Macintosh and FrontPage2002 (Windows) CDs are available for purchase in CIS - Lower Marston hall. Limit one (1) each @ $10 per set. Valid student ID required.

SPU/Internet Bandwidth Update
SPU has taken a number of steps to deal with the bandwidth problem that has slowed down the network since the start of school. We've recently added a fourth T1 line, bringing total internet gateway speed up to 6 Mbps. The minor boost in capacity has been complemented with a 'Packeteer' packet shaper - a device that allows certain traffic (such as access to the University's academic and business resources) to have priority over other non-academic/recreational uses. Early this winter a DS3 connection -- with burst capacity of up to 45 Mbps! -- will be added. (There is a delay of several months between the time the DS3 is ordered and installed or we'd have it by now.)

Until such time that this new capacity is in place, we remind users to please continue to limit their non-academic use of the network, particularly during peak business and study hours.

WebSpace Migration: Paul is Leaving Us - Very Soon
The old SPU web server (Paul) is scheduled to go off line for good over Christmas break. Departmental pages were migrated to the new servers over the summer, but a number of personal web pages remain on Paul. If you have web pages that are still shared from the Paul server, please take steps NOW to begin their move to the new platform. Details may be found at http://www.spu.edu/help/webtools/paultfr.asp.

MARS Update: Customize On-line Directory Information
Online (White Pages) directory information is important for communication within the SPU community, as well as for sharing appropriate data and contact information with prospective employers, other academic institutions, former schoolmates, etc. As a student, you have a great deal of control over what is listed in SPU's on-line and printed directories. This control ranges from completely blocking your identity, to selectively sharing out just your name and one contact alternative (phone number, email address, etc.).

If you are a student, the most restrictive option is to designate yourself as 'confidential' under the guidelines of FERPA (Family Educational Right to Privacy Act). Under this federal act, information about you is held in strictest confidence - to the point that the University does not even acknowledge you exist (to anyone other than yourself, of course)! FERPA confidentiality is the extreme and should only be applied in special cases. You will need to contact the office of Student Academic Services in person to enable this level of confidentiality.

SPU also offers a high degree of 'granular' control over directory listings for through the "Directory Preferences Menu" of your Banner account. With this utility you choose specifically that information which is and is not to be included in an on-line or printed directory - including phone numbers, street addresses, and email addresses. This level of control is applicable in the majority of instances, enabling you to take advantage of inclusion in SPU directories while also being selective about how people can contact you. Off Hours Computer and Network Support
The SPU community relies on a large and complex mix of computers, servers, networks and applications. While CIS strives to keep everything operational and reliable, we realize that technology glitches do happen. When they do, they frustrate all of us. The following support and notification guidelines outline user and CIS responsibilities in responding to significant technology problems during off-hours.

If you discover a significant service disruption during non-business hours, please contact the Safety and Security Office (206-281-2922). They will take the necessary steps to contact a CIS staff member, who will in turn follow up on the problem. Examples of a "SIGNIFICANT" off-hours disruption would include a server crash (Email, Banner, etc…); a major telephone system problem; or a major campus network failure or similar event that affects many staff or students.

To report a computer, classroom-technology or network service problem during business hours (M-F 7:30 - 5PM), please notify the CIS Help Desk (206-281-2982). Long-term, planned outages are posted in the CIS help pages at www.spu.edu/help.

Non-urgent problems (on or off hours) are best communicated via email help@spu.edu or telephone (206-281-2982).

Residence Hall Student Feedback: (Get Connected 2001)

So now that you're here, how'd we do? This year's Get Connected program took place between Thurs Sept 20 and Wed Sept 26. The goal of "Get Connected" was simply to provide assistance to you in setting up your computer and connecting to the SPU network. Did we succeed in helping get your computer connected? If you had difficulties, did the program help you get things resolved? Did you have all the necessary information prior to the start of school to adequately plan your technology needs?

CIS and Residence Life value you feedback in helping us make next year's Get Connected Fall 2002 program better than ever before! If you have constructive feedback and/or suggestions concerning your technology experience the first few days after arriving on campus, please drop us an email at help@spu.edu and include the text "GET CONNECTED FEEDBACK" in the subject heading.

TechTips: Out-of-Office Notification
Want the SPU campus community to know you are traveling for a week? Wondering how to indicate you are unavailable for calls? If so, you can use the handy Out-of-Office components in our Voice Mail, Webmail, and Outlook 2000/XP clients to easily accomplish these and other examples.

Voice Mail (Telephone)
To leave a voice mail Out-of-Office greeting:
  1. From on campus, call extension 2700. From off campus, call (206) 281-2700.
  2. At the prompt, access your voice mailbox. To do this, press the "#" key and your four digit mailbox number (example - #1111).
  3. At the main menu, press the following sequence: "3" to access the Phone Manager, "1" for Personal Options, "3" for Record Personal Greeting, and "3" for the Out-of-Office greeting.
  4. Follow the prompts to record your message. The message is active and will remain in place until you remove it.

To remove a voice mail Out-of-Office greeting:

  1. Repeat steps 1 and 2 from above to access your voice mailbox.
  2. The system will indicate that the Out-of-Office message is active. You will be prompted to either keep it (press "5") or remove it (press "4"). Pressing "4" will return your previously stored or regular message.

Remember: If you don't hear the voice mail prompt you were expecting, press the # key at any menu for a list of all the prompts available.

Webmail
To leave an Out-of-Office greeting while using Webmail, follow these steps. Please note - Out-of-Office only works with SPU email addresses. Non-SPU mail recipients (for example, Hotmail or Yahoo users) will not see the message.

  1. Log in to Webmail.
  2. Inside Webmail, on the left side of the screen, find and click on the Options icon.
  3. Click on the radio button by "I am currently Out of the Office" to activate this feature.
  4. Type in your message in the message field and click OK at the bottom of that window. Now, when a fellow SPU email user sends you a message, that person will receive your Out-of-Office greeting.

To remove the Webmail Out-of-Office greeting:

  1. Repeat steps 1 and 2 from above.
  2. Click on the radio button by "I am currently In the Office" to disable this feature.
  3. Click OK at the bottom of that window.

Outlook 2000/XP
To leave an Out-of-Office greeting while using Outlook 2000/XP, follow these steps. Please note - Out-of-Office only works with SPU email addresses. Non-SPU mail recipients (for example, Hotmail or Yahoo users) will not see the message.

  1. Start Outlook 2000/XP.
  2. In either the Outlook Bar or the Folder List view, click on the Inbox icon.
  3. Click on Tools, and select the Out-of-Office Assistant.
  4. Click on the radio button by "I am currently Out of the Office" to activate this feature.
  5. Type in your message in the message field and click OK at the bottom of that window. Now, when a fellow SPU email user sends you a message, that person will receive your Out-of-Office greeting.

To remove the Outlook 2000/XP Out-of-Office greeting:

  1. Start Outlook 2000/XP.
  2. A message box will appear indicating that "Out-of-Office is currently on. Would you like to turn it off?" Clicking Yes will disable the feature.
  3. An alternate method for removing or disabling this feature is to click on Tools, select the Out-of-Office Assistant, and click on the radio button by "I am currently In the Office." Click OK to exit.
