GRADE DEADLINES
Except in cases of clerical error, no instructor may change a grade that he/she has submitted to Student Academic Services. Instructors may not allow students to complete extra work in order to boost their original grade. Grade changes must be corrected no later than one quarter following the quarter the original grade was assigned. Instructors must submit in writing the grade correction and an explanation to Student Academic Services. Change of Grade forms are available from Student Academic Services or the department administrative assistant. If a student registers for a Pass/No Credit (P/NC) option, they may petition to change to a letter grade.

It is the instructor's responsibility to meet all grade deadlines. Meeting deadlines is essential for providing students with timely grade reports and official transcripts. Serious ramifications for students occur when grades are received late, such as:

  • Student Academic Services is unable to run the academic probation and academic dismissal process. During some quarters a student is notified of their dismissal after the following quarter has begun.
  • Student Financial Services is unable to award student aid because of outstanding grades, so a student's financial aid could be disrupted.
  • Nursing graduates may not be able to take their board exams because their degree is delayed in being awarded.
  • Students and instructors are unsure of course prerequisites being met (passed), so sequential courses are disrupted.

School deans are notified quarterly of instructors who did not submit his/her grades by the quarterly grading deadline. The Time Schedule and the electronic university calendar list the quarterly grading deadlines. Grades may be submitted to Student Academic Services or entered via the web.

STUDENT PRIVACY
Class or grade rosters are University educational records and, therefore, may not be used for any purpose not directly related to the specific course they are generated or created for. Furthermore, FERPA and SPU policy prohibit the use of any class or grade roster for any publicity or advertising purposes. The following guidelines ensure students' privacy rights are protected:

1. Grade information (student papers, grade rosters, and grade books) should be kept in a secure location. Student papers for pick up should be left with the building administrative assistants, NOT outside faculty offices, unattended.
2. When grades are posted outside faculty offices or classrooms, students' anonymity must be ensured. Even if student names are blocked out, social security numbers are considered private information. Assigning each student a random personal identification number or code name at the beginning of the quarter is acceptable.
3. Student's schedules are private information. The location of a student should not be disclosed. In emergencies, the Office Safety and Security and Academic Services can locate on-campus students to relay information.
