Office Operations for Adjunct Professors
 

The following are some helpful hints on how things work around the FCS Department and SPU. Please ask Ivonne McClurg, the administrative assistant, for assistance by calling (206) 281-2195.

1. KEYS - A key is issued to you so that you can get into the building, your office space and also have access to the office copier, etc.
2. MAILBOX - A mail slot will be set up for your incoming mail. Outgoing mail is collected in a box at the front counter. If postage is needed, metered mailing slips are available.
3. BOOKSTORE - If you need something from the bookstore, ask Ivonne or our student worker, to purchase it for you. They will properly charge the purchase to the department account.
4. LIBRARY - Gary Fick is the resource person in the library assigned to work with us. He can be reached at (206) 281-2423. If you have special needs in the Library, he will help you. If you are new, you will need to have an ID made at the Office of University Services. This card will serve as your library card. You may also put materials or books for your students on reserve.
5. PHOTOCOPYING - If you are making 10 copies or less, use the copy machine in the office. If you need more than 10 copies, they need to be sent to Printing Services. (Copying charges at Printing Services are 4 cents/copy; copying charges on our own office photocopier are 15 cents/copy.) It takes at most 24 hours to get copies back from Printing Services. Ivonne will send them over and see they are returned to you by the time you need them. Any copies made in the office for personal use are 15 cents each, payable to Ivonne. You will be assigned a copy code for the FCS photocopier. NOTE: You must verify that permission has been obtained to reproduce copyrighted materials. A form will need to be attached for copyright purposes.
6. WORD PROCESSING - Ivonne is available to type tests, syllabi or other work. Because she supports a number of faculty and manages the office, please give her as much time as you can. You may want to attach a document in your e-mail and send it to imcclurg@spu.edu.
7. PARKING - Stickers are available from the Office of Safety and Security for $40 per quarter. Parking in any lot is free after 4 p.m. Street parking is also available for free. But all vehicles must be registered with the Office of Safety and Security, even if you do not wish to have a sticker.
8. Ask Ivonne about Desk Copies from the Bookstore, obtaining syllabus from previous classes, identification cards, cafeteria services, and how and where to turn in grades. Also, please give Ivonne a copy of your course syllabus at the beginning of each quarter.
9. You should have an Academic Calendar. If you do not have one, ask Ivonne, or see the calendar in the Time Schedule.
10. MEDIA EQUIPMENT - Computer and Information Systems (CIS) will deliver and pick up a monitor and VCR for your classes. Let Ivonne know at least two weeks in advance of the date that you need the equipment. The CIS number is (206) 281-2982. The FCS Department has a slide projector and video camera for you to use. Please return them to the media storage closet after using them.
11. STUDENT BEHAVIOR - Obtain a copy of the SPU Undergraduate Catalog from Ivonne. Refer to this publication for Academic Policies and Procedures or look for this information online. Please report incidents of any persistent academic or behavioral problems of students in your class to Sharleen Kato, FCS Director.
12. TITLE - Students are to use professional titles when addressing adjuncts (i.e., Mr., Ms., Instructor or Professor).

COMMUNICATION - Many adjunct faculty give their office or home phone to students. Some choose to distribute home numbers selectively -- with restrictions, such as times to call. If you prefer, a voicemail box can be set up for you through the FCS office. An email address will be set up for you, which is another great way to communicate with students and the most common. Please put a note in your syllabus about how students will be contacted or whom they should call to get final word on a class cancellation.

If you are running late for a night class, the best way to communicate with the students in your class is to call Safety and Security at (206) 281-2922. Let them know your situation and they can transfer your message to your class of students.

14. TUTORING SERVICES - Tutoring Services and Writing Lab Support Services are available to any of your students who need extra help. Recommend they call the Center for Learning in lower Moyer at (206) 281-2654.
15. EVALUATIONS - Adjunct faculty are required to have student course evaluation forms completed by the students during the last two weeks of the quarter prior to final exam time. Place an order for your evaluation forms with Ivonne by the eighth week of class. You must leave the room while evaluations are being completed.
