The University is committed to protecting the right of privacy of all individuals about whom it holds information. Access to educational records is restricted to the student concerned, to parents of a dependent student (defined by IRS), to others with the student's written consent, to University officials who have legitimate educational interest in the records, to officials of another school where the student seeks or intends to enroll, to certain authorized government representatives, to organizations conducting studies on behalf of the University, to accrediting organization to carry out their accrediting function, to a court of competent legal jurisdiction, and to appropriate parties in a health or safety emergency.

A legitimate educational interest pertains to the demonstrated "need to know" by those officials of an institution who act in the student's educational interest, including faculty, administration, clerical and professional employees and other persons, including student employees or agents, who manage student record inforrnation.

A student has the right to file a cornplaint with the U.S. Department of Education concerning alleged failures by the University to comply with the requirements of FERPA. The name and address of the Office that administers FERPA is

Family Policy Compliance Office
U.S. Departrnent of Education
400 Maryland Avenue SW
Washington, D.C. 20202-4605

The complete FERPA Policy is available on the Seattle Pacific University Web page located at www.spu.edu/depts/sas/ferpa.html and can also be obtained by contacting the University registrar.

  GRIEVANCE POLICY AND POLICY PETITIONS
The University provides a process whereby a student may appeal or petition an academic decision, including, but not limited to grades on course activities, decisions on program admissions, and decisions on fulfillment of program and graduation requirements.

A process is also established for those who seek an exception to established University policy. Petition forms are available in several offices, depending on the nature of the petition.

For more information on the grievance policy or policy petitions, refer to the SPU Undergraduate or Graduate Catalog.

  PASS/NO CREDIT OPTION

Selected classes are offered on a pass/no credit option. In these cases, you must reach at least a "C" (2.0) to pass the course. Students may elect to be graded pass/no credit in a limited number of courses in their degree program. See the current SPU Undergraduate or Graduate Catalog for information on these limitations.

  QUARTER DESIGNATION
For all courses, except yearlong distance learning courses, official quarter designations are determined in Student Academic Services by the ending date or the closing date of a course (whichever is later).

Ending Date: The last class session
Closing Date: The date any final projects may be due

For yearlong distance learning courses, the course completion time is given in each course's description in this bulletin. Be sure to check your course syllabus for more specific assignment due dates and completion deadlines. Yearlong distance learning courses appear on your transcript for the quarter you register, not the quarter you complete the coursework. Ending and closing dates do not apply to these distance learning courses.

Since the official quarter affects when transcripts are available to students, those needing transcripts for salary increases or certification renewals need to keep quarter dates in mind when registering for classes.

  STUDENT STATUS AND CREDIT LOAD
A full load is 12 to 18 quarter credits for undergraduate courses and eight or more credits for graduate courses. Post-baccalaureate, undergraduate and non-admitted students may not enroll in more than 20 credits in a quarter.
  Matriculated Students
Students who have fully met all the requirements for admission and have been formally admitted to the University are considered matriculated (designated as undergraduate, post-baccalaureate or graduate students). The maximum credit load for undergraduates and post-baccalaureate students is 18 credits. The maximum credit load for graduate students is 15 credits.

While formal admission is not required for you to begin taking courses at SPU, if you are interested in pursuing a degree we encourage you to be admitted as soon as possible. Once admitted to the University, you're eligible to apply for financial aid and to take advantage of all student services.
While the Spiral bulletin contains some general information, students should be acquainted with the specifics in the SPU Graduate Catalog. Contact the Graduate Center at 206/281-2091, or consult the SPU Graduate Catalog for full information before starting on your degree.
  Nonmatriculated Students
Students who are not seeking a degree and attend Seattle Pacific University without submitting the credentials required for admission are nonmatriculated. The maximum credit load per quarter is 20 credits. No more than 45 credits taken as a nonmatriculated student may apply toward an undergraduate degree, nor can more than nine such credits apply toward a graduate degree. No more than 15 credits taken as a nonmatriculated student may be applied to a post-baccalaureate degree. A later decision to work on a degree or certificate program will necessitate formal application and admission to the University.

For more information on admission, contact Admissions, 206/281-2021, or the office for your graduate program.

  TRANSCRIPTS

Transcripts contain your entire academic history while at SPU. Undergraduate, graduate, doctoral work and CEUs are listed on separate pages of the SPU transcript. Although a copy of the transcript may be requested at any time, updated transcripts will be available five working days after final grades have been submitted and recorded. Transcripts are released only to the student unless directed by the student to be forwarded to another destination.

Official transcripts are released only on written authorization of the student whose records are requested. The letter, which must be sent to Student Academic Services (SAS), needs to include the name the student attended under; social security number; the last quarter and year the student attended; if the student is enrolled in a current quarter of instruction; the number of classes enrolled in for that quarter; destination address; signature; and the number of official or unofficial copies requested. Unofficial transcripts may be viewed and printed by accessing the Banner Information System at www.spu.edu. A $3 fee is charged for each official transcript. Students may request an unofficial copy of their transcript at no charge.

The University reserves the right to deny official transcript services for indebtedness to the institution. If the student has an account, official transcripts are released only if the account is paid in full.

SPU will resend a transcript to the originally requested person or institution provided the University made an error in processing. We must, however, be contacted within three months of the original request. After the three-month grace period, a separate written request must be submitted. The University reserves the right to approve or deny any request for resending a transcript for any reason other than University error.

For more specific transcript information, you may call the SAS information line 24 hours a day at 206/281-2034.

  TRANSFERRING CREDITS
Since the University is fully accredited by the Northwest Association of Schools and Colleges, credits earned at Seattle Pacific University are usually transferable to other accredited colleges and universities. The decision concerning the applicability of transfer credits to a specific degree or certificate program at another institution rests solely on that institution. For this reason it is wise to confer with your program advisor at the institution to which you will transfer if you expect to apply credits earned at Seattle Pacific University to a degree program at another institution.

  VETERANS
Tuition must be paid in compliance with the University schedule (see the Financial Information section). If you desire information concerning veteran's benefits, please contact the VA coordinator at 206/281-2031.

SOME HELPFUL REMINDERS TO MAKE SURE YOUR
REGISTRATION PROCESS GOES SMOOTHLY

  • Do not use this registration form if preregistration or registration with an outside agency is required. Just call the number listed to find out how to register. If SPU credit is available, you'll complete registration on site or separately, and payment in full is due at that time.
  • Double-check your form against the course listing. Make sure you've written complete course information on the form before sending it in. If Student Academic Services cannot determine what courses you're actually registering for, the form will be returned to you promptly.
  • Pick the right payment option. See the Financial Information section for payment options. If you are paying by purchase order, please carefully read the purchase order payment option.
  • Sign your registration form. Without your signature in section three, we cannot legally register you for a course. Your registration form will be mailed back to you promptly.

Thank you for helping SPU serve you better!
