Hello everyone,
Participation in the email exchanges for messages 1-6 has been great!
As hoped, issues and questions have emerged illuminating areas where additional work is needed within or across departmental plans to insure we are in sync with one another. Questions have also surfaced which will need further discussion within CSOT and/or within ECMT. The CSOT Leadership Team is maintaining a list of these questions, and after this exercise is completed, will forward this information to you.
The next part of the exercise, the traditional face-to-face table top experience, will allow us to see how effectively we work together in a “time crunch” situation. As you know, CSOT will be called to meet in an emergency at the discretion of ECMT and we’ll be charged with addressing specific questions. You should expect to receive an SPU-Alert message around Noon today --- which will provide you with the time and location of our meeting.
Preparation: Before you arrive to the Safety and Security conference room it is recommended you do the following:
- Review the current situation as explained to you in Messages 5 & 6 – this outlines what you know about the current situation by reviewing the Shaky Ground website (if time permits, review what your colleagues have written).
The "Recap of Current Situation: April 29, 2009 --- 3:30 PM" provides my summary of the “current state” – however, you may wish to add other information when we meet.
- You may bring any material with you which you listed in Message 1 – materials you took with you when when you evacuated your building (or had available in your car).
Table Top Exercise—What to expect:
ECMT Mandate: ECMT has met off and on throughout the day and wants CSOT to provide a situational status report on the current state on campus (people, property/campus environment, critical business operations, critical records/retrieval, etc.)and provide recommendations related to what it will take to become fully operational along with initial timeline. ECMT is trying to decide whether to remain closed throughout the weekend and/or through next week (through Sunday, May 10th ).
CSOT leadership team has discussed the mandate and believe we should start by focusing the discussion on the following areas:
- Situational status report by department: At this point– what are your top 3 issues/concerns/questions that need to be lifted up and shared with CSOT/ECMT?
- What are the issues/questions/recommendation tied to meeting immediate needs over the next 24-48 hours (through Friday night). What needs to be in place to re-open by Monday May 4th or Monday May 11th? What do you need? What do you want to communicate to ECMT? Topics include:
- providing adequate shelter/food/water/sanitation/safety
- resuming classes/library operation/ events / student activities on and off-campus
- resuming normal business operations/essential staff-shifts-priorities/volunteers
- communication within our community (students, employees including adjunct/temps), parents, donors, other constituents
- other issues
