What now?

  • Are there any vendors you should consider contacting? How soon do they need to be contacted?

    There is nothing in the “normal” HR areas of responsibility that is so urgent we would need to contact any vendors within these first few hours.   Contact may be necessary with the Emergency Contact of anyone who is injured or in trauma.  Right now I do not believe we have a regularly updated printed version of employee Emergency Contacts – so HR will need to finish working this out with OSS.    The only other Vendor we may need to contact is the EAP, if there is in fact enough trauma to warrant their on-site assessment team and eventual counselors.    Again, this normally does not happen until day 2 or later.   HR Director does have all vendor contact information in his cell phone.

  • What is the impact to your department if CIS remains down for several hours or days?

    Most processes can be delayed or done on paper if necessary.   One timing issue that will come up will be payroll deadlines and getting accurate information into Banner.  Obviously if the computers are down, then none of this will happen, but nobody will be surprised.    Other issues will be with contacting new applicants, new employees, departing employees etc to process, but again they will not be surprised if these things do not happen on time.  Mostly HR will be shut down except for any necessary dealing with Emergency Contacts and dealing with people-response efforts on campus and with our EAP.

 

Depending upon how long the campus Is shut down, several big events are coming up after April 29 – like the President’s Spring Forum, start of Open Enrollment, and the annual Benefits Fair.    All of these can (and likely will) be postponed.    If so, all vendors for the Benefits Fair will need to be notified within a few days.   Open Enrollment will simply need to be re-scheduled by a week or two.  None of these events pose a big problem, just have to be addressed.

 

  • What actions do you need to take in the next hour? Next two hours?

    Stay tuned with what is coming from ECMT, either move to Tiffany Loop or regularly send someone to get updates.  Keep trying to get in touch with family to determine their condition and safety, especially if staying on campus overnight.

  • Have any issues or new questions emerged?

    With no electricity, when it gets dark it will be very dark.  I would be concerned for safety for those left without shelter, and we would want to be vigilant for any possible looting or theft from our otherwise empty buildings.   Do we need to set up additional volunteer “security” to monitor building and groups of people when it gets dark?   Do we have enough portable lighting (generator) to keep Tiffany Loop lighted at night?
