Planning Your Event

1. Decide what type of event you want.

Will it be a banquet, reception, or a coffee break? Will your guests stand or be seated? Will it be formal, casual, or "in between"? What are your budget limitations? While not every decision needs to be finalized at this point, the more you decide now, the easier your planning will be.

2. Reserve the Room.

This must be done first. You will need to determine your type of event and how many guests you will be expecting so that you are assigned a room of the proper size. Please allow for set-up and breakdown time when making your reservation. Listed below are contact numbers in reserving a function room:

The Catering Manager will assist you with any questions you have regarding numbers and sizes of tables that you might need.

Our Catering Office is located in Gwinn Commons on the third floor.

3. Plan the event with the Catering Manager.

This also should be done at the earliest possible date and no later than 7 working days (Monday - Friday) prior to your event. Most arrangements can be made over the phone, but some events with special menus may require you to make an appointment. For groups of 100 people or more, please contact the Catering Office a minimum of 14 working days before your scheduled event.

The Catering Office will send you a Catering Event Order (CEO) for your event within 4 working days of receiving your final arrangements.
Review the CEO carefully and upon your approval, sign and fax back to the Catering Office at (206) 281-2783.

Guarantees:
To help plan your event, we will need your projected attendance 5 working days in advance and your guaranteed number must be called in to the Catering Office by 12:00 p.m., 3 working days before your event. If the guarantee is not received within this time period, the final charges will be calculated from the projected or the actual attendance - whichever is greater.

Late Reservations:
Normally, menus and service details should be finalized 7 working days prior to your event. There will be a 15% late charge based on your total bill for catering requests placed with less than 3 working days notice. Approval must be Obtained from the catering manager.

Non-business hours:
For events occurring during non-business hours (beginning after 8:00 PM, or Events on Sunday, between quarters and holidays) a surcharge may be added based on the complexity of your event

Cancellations:
For most functions of 50 guests or less, cancellations will be accepted a minimum of three (3) working days prior to the event, and for groups over 50 guests a minimum of five (5) working days prior to the event with no cancellation charges. Cancellations for events with less notice as stated on the above will result in your being charged up to 50% of the total estimated cost or the actual expenses incurred by Campus Catering. (For cancellation with less than 1 working day's notice a charge for all costs incurred for the event, not to exceed the total amount of the event).

Leftovers:
We try to plan your event so that there will be little or no food left. Please remember, however, that because of health Regulations, leftovers may not be taken from the catered event.

Delivery Charges:
A delivery charge will be added to Presto Box lunch deliveries as well as linen orders.

Remote Deliveries:
The Catering Manager will determine charges for special off-campus sites based on the complexity of the event, distance from campus and travel time.

Rentals:
For all catering events outside of Gwinn Commons rental cost will occur. Please See Rental Sheet for cost of items.

Policy:
Groups seeking only a meeting space or foodservice other Than a complete meal in Crossroads are not able to Reserve the space. Any on campus group meeting the above Criteria may reserve the space on a first come first serve basis.

Contact Kim Taylor @ 281-2226 24 hours in advance of the event

Room set-up:
The Crossroads staff is not responsible for setting up or Breaking down the Lake Union Room. It will be the guest responsibility to set up the room and return it to the Original set-up. There will be a charge if the Crossroads staff needs to return the room to its original layout or return plates to the dish return.

Food:
Guests using the room must be on a meal plan, pay cash or The meals can be charged to a department. Catering Service is not available in the Lake Union Room. There Will be a charge if the Crossroads staff needs To return the room to its original layout or return plates To the dish return belt.
